Inbound arrives
A prospect sends a message to your WhatsApp Business number. Wavy creates a conversation in the shared inbox and tags it as a new lead.
Industry · B2B Sales
Wavy helps sales teams qualify inbound leads, route conversations to the right account owner, and run consent-aware follow-up sequences — all inside WhatsApp. Campaign workers recheck opted_in contacts and campaign launch uses an approved template and review gate; other sends follow separate controls.
What Wavy does for B2B sales
These are the workflows Wavy is built to support for B2B sales teams. Each job has a clear input, a review boundary, and an honest output state.
1. Inbound lead qualification. A prospect messages your business number after seeing an ad, a LinkedIn post, or a referral. Wavy captures the conversation in the shared inbox, applies tags based on keywords or form responses, and assigns the lead to the right sales rep. The rep reviews the conversation and sends a qualification reply — no AI sends a message on its own.
2. Multi-stakeholder deal routing. B2B deals often involve multiple decision-makers. Wavy tracks which contacts belong to the same opportunity, lets your team tag and group them, and ensures that follow-up templates are only sent to opted-in stakeholders. Deal stage changes are visible in the inbox timeline; no stage transition triggers an automatic outbound message without approval.
3. Follow-up sequence management. Sales reps create campaign sequences for opted-in segments — demo reminders, proposal follow-ups, check-in messages. Each message in the sequence uses a Meta-approved template, is scheduled for a specific time, and enters a review queue before dispatch. If a contact replies or opts out, subsequent messages in the sequence are suppressed automatically.
Example workflow
This is an illustrative workflow showing how the pieces fit together. It is not a promise of outcomes — your results depend on your own provider configuration, contact quality, and message content.
A prospect sends a message to your WhatsApp Business number. Wavy creates a conversation in the shared inbox and tags it as a new lead.
A sales rep reads the conversation, asks clarifying questions, and assigns a lead stage. No AI-generated message is sent without the rep's review and approval.
Qualified leads who have given explicit opt-in are added to a 'demo follow-up' segment. Contacts without opt-in are excluded — suppression is enforced before the campaign is built.
A follow-up template is submitted to Meta for approval. Wavy shows the template's review status honestly — it cannot be used in a campaign until Meta approves it.
A campaign is created with the approved template, the opted-in segment, and a schedule. The campaign enters a review queue — a human must approve it before any message is queued for dispatch.
After approval, messages are sent through the WhatsApp Cloud API. Wavy tracks each message as queued, accepted, delivered, read, or failed. If a contact opts out, future messages are suppressed.
Provider and configuration dependencies
WhatsApp Business API (Meta Cloud API). You must connect your own Meta Business account and WhatsApp Business number. Wavy does not provide a shared number — your message reputation, quality rating, and template approvals belong to your Meta account.
Approved message templates. Every outbound template message must be submitted to and approved by Meta before it can be used in a campaign. Wavy surfaces the approval status; it cannot bypass Meta's review.
Contact opt-in records. You are responsible for maintaining evidence of consent for each contact you message. Wavy enforces suppression for contacts marked as opted out, but the initial opt-in record is yours to keep.
Optional: AI assistant. If you enable the AI assistant, it can draft reply suggestions in the inbox. Copilot drafts are returned for human review; bot connectors are a separate path and are not represented by this draft flow.
Consent and review boundaries
Wavy is designed so that no consequential action happens without a human decision. Specifically:
• Outbound template messages require reviewer approval in the campaign queue before they are sent to the provider.
• AI-drafted replies are suggestions in the inbox — they are never sent to a contact without a human clicking approve.
• Payment links (if you connect a payment provider) are provider-dependent; current UI confirmation is separate from backend approval enforcement.
• Opt-out requests are processed immediately — once a contact opts out, no campaign message will be dispatched to them, even if they are still in a scheduled segment.
Questions
No. Wavy can schedule follow-up sequences, but every campaign enters a human review queue before any message is dispatched. The sequence is a tool for your rep, not an autonomous sender.
Wavy includes a built-in contact manager with segments, tags, and pipeline stages. Export to Airtable is available. Deeper CRM integrations are listed as planned — check the integrations page for current status.
The AI assistant can draft reply suggestions inside the Wavy inbox. No draft is sent to a contact without human review and approval. The assistant does not send messages on its own.
Opt-out is processed immediately. Even if the prospect is in a scheduled campaign segment, subsequent messages are suppressed at the worker layer before they reach the provider.
Connect your own Meta Business number, import contacts with consent, create approved templates, and start qualifying leads — with human approval gates at every consequential step.
