Appointment scheduled
A client books an appointment through your existing booking system. Your team creates a contact record in Wavy and records the client's opt-in for WhatsApp reminders.
Industry · Health & Wellness
Wellness practices, clinics, and fitness studios use Wavy to send appointment reminders, handle rescheduling requests, and communicate with clients in a shared inbox. Campaign workers recheck opted_in contacts and campaign launch has a review gate; health-sensitive communication retains the safety boundaries below.
Important safety notice
Wavy is not a medical device, clinical decision support system, or telemedicine platform. It does not diagnose conditions, recommend treatments, prescribe medication, interpret lab results, or provide medical, psychological, or nutritional advice. The AI assistant inside Wavy drafts message suggestions for your team to review — it does not generate clinical guidance, and no AI-suggested message is sent to a patient or client without a human clicking approve.
If your practice is subject to healthcare regulations (such as HIPAA, DPDP Act health-data provisions, or other local health-privacy laws), you are responsible for ensuring that your use of WhatsApp and Wavy complies with those obligations. Wavy does not provide compliance certification, and this page does not constitute legal or regulatory advice. Consult qualified legal counsel before deploying WhatsApp-based communication in a regulated health context.
Wavy does not store, transmit, or process health records on your behalf unless you explicitly input them into conversations. You are responsible for what you type into the shared inbox. Do not use Wavy to send diagnoses, test results, or treatment instructions — those communications should follow your practice's established clinical channels.
What Wavy does for health and wellness practices
These are the administrative communication workflows Wavy is built to support. None of them involve clinical decision-making, diagnosis, or medical advice.
1. Appointment reminders and rescheduling. A client has an upcoming appointment. Your team builds a reminder campaign — a 24-hour reminder and a 2-hour check-in — using Meta-approved templates. Each reminder is scheduled, enters a review queue, and is sent only after a human approves it. If a client requests rescheduling via WhatsApp, your team handles it in the shared inbox and sends an updated confirmation after review. Wavy tracks delivery state honestly.
2. General inquiry handling. Clients message your WhatsApp number with non-clinical questions — operating hours, location, service availability, pricing. Your team responds in the shared inbox. The AI assistant, if enabled, can draft suggested replies for these administrative queries, but no draft is sent without human review and approval. Clinical questions are flagged for your team to handle through appropriate professional channels — Wavy does not generate clinical responses.
3. Wellness program follow-ups. For opted-in clients in non-clinical wellness programs (fitness classes, nutrition coaching sessions, spa packages), your team creates follow-up sequences — session reminders, program check-ins, feedback requests. Each message uses an approved template, targets only the opted-in segment, and enters a review queue before dispatch. These are administrative communications, not medical guidance.
Example workflow
This is an illustrative administrative workflow. It does not involve clinical content, diagnosis, or medical advice. Your results depend on your own provider configuration, contact quality, and message content.
A client books an appointment through your existing booking system. Your team creates a contact record in Wavy and records the client's opt-in for WhatsApp reminders.
A team member creates a reminder message using a Meta-approved template. The template contains only administrative details — date, time, location, rescheduling instructions.
The opted-in client is added to the reminder segment. Clients without opt-in are excluded — suppression is enforced before the campaign is created.
The reminder campaign enters a review queue. A reviewer confirms the content contains no clinical advice and approves it before any message is queued for dispatch.
After approval, messages are sent through the WhatsApp Cloud API. Wavy tracks each message as queued, accepted, delivered, read, or failed.
If the client replies 'STOP' or asks to opt out, Wavy suppresses all remaining scheduled messages immediately.
Provider and configuration dependencies
WhatsApp Business API (Meta Cloud API). You must connect your own Meta Business account and WhatsApp Business number. Wavy does not provide a shared number — your message reputation, quality rating, and template approvals belong to your Meta account.
Approved message templates. Appointment reminders, rescheduling confirmations, and follow-up templates must each be submitted to and approved by Meta. Templates containing health-sensitive content may face additional Meta review. Wavy surfaces the approval status; it cannot bypass Meta's review.
Contact opt-in records. You are responsible for maintaining evidence of consent for each client you message. In health contexts, ensure your opt-in process complies with applicable health-privacy regulations. Wavy enforces suppression for contacts who opt out, but the initial opt-in record and regulatory compliance are yours to maintain.
Regulatory compliance. If your practice is subject to healthcare regulations, consult qualified legal counsel before deploying WhatsApp-based communication. Wavy does not provide compliance certification, and this page is not legal advice.
Optional: AI assistant. If enabled, the AI assistant can draft suggested replies for administrative queries in the inbox. The assistant does not generate clinical guidance. No draft is sent automatically — a human must review and approve every suggested reply before dispatch.
Consent, review, and safety boundaries
Wavy is designed so that no consequential action happens without a human decision, and so that clinical boundaries are respected. Specifically:
• Appointment reminders and follow-ups require reviewer approval before they are sent to the provider.
• AI-drafted replies are administrative suggestions only — they are never sent to a client without a human clicking approve, and they must not contain clinical advice, diagnoses, or treatment instructions.
• Clinical questions from clients are flagged for your team to handle through appropriate professional channels. Wavy does not auto-generate clinical responses or forward health data without explicit human action.
• Opt-out requests are processed immediately — once a client opts out, no campaign message will be dispatched to them.
• No medical advice. Wavy does not diagnose, prescribe, treat, or provide medical, psychological, or nutritional advice. All clinical decisions remain with qualified professionals using established clinical channels.
